1. Purpose
This User Responsibility and Data Accuracy Policy explains that EC users are responsible for the accuracy, completeness, authorization, and truthfulness of information they enter, edit, upload, submit, approve, certify, or trigger in Employee Center (“EC”).
2. Scope
This policy applies to user-entered records, task updates, service notes, service reports, timecards, mileage, call notes, attachments, signatures, approvals, customer records, contact records, comments, uploads, exports, automation commands, legal acknowledgments, and any other user action in EC.
3. User Responsibility
Users are responsible for their own EC actions and submissions.
Users must use reasonable care when entering, editing, approving, uploading, certifying, or submitting records.
4. Accuracy Requirement
Users should not knowingly create false, misleading, incomplete, backdated, fabricated, or unauthorized records.
If a user discovers an error, the user should correct it through authorized EC workflows or report it to an owner/admin or authorized manager.
5. Account Attribution
Actions taken through a user’s authenticated EC account may be attributed to that user.
Users must not share accounts, allow others to use their account, impersonate another user, or approve records for another user unless expressly authorized.
6. Attachments and Evidence
Users submitting attachments, screenshots, images, PDFs, signatures, or other files are responsible for ensuring the submission is relevant, authorized, and not intentionally false or misleading.
Users must not alter, crop, edit, or submit files in a way intended to mislead EC users, customers, managers, owner/admin, or legal processes.
7. Timecards and Work Records
Users submitting timecards, work segments, mileage, service notes, or work records are responsible for accuracy.
Users must not falsify time, location, mileage, work performed, customer contact, or service status.
8. Customer and Contact Records
Users entering customer, company, contact, store, equipment, phone, email, or service-location data should enter the information accurately and only for authorized EC-related purposes.
9. Automation Commands
Users are responsible for commands, approvals, workflow actions, SMS commands, dashboard buttons, or automations they intentionally trigger or authorize.
10. Enforcement
Violation of this policy may result in correction, audit review, account restriction, access revocation, preservation of evidence, management notification, legal enforcement, or other action permitted by EC policies.
11. Changes to This Policy
Quintin N. Mahan may update this policy by publishing a new active version in EC.
Older versions may remain stored in Postgres for audit, evidence, and historical review.
