Employee Center Payroll, Timecard, PTO, and Labor Record Policy

No Raw Database Data Claim

For clarity, this document does not claim that Quintin N. Mahan owns raw facts, raw database rows, independent outside source records, CRS-owned operational records, customer-owned records, third-party-owned records, or customer relationships merely because such information is entered into, stored in, processed by, displayed through, backed up with, or exported from EC.

This document protects EC Protected Materials: the application, software, source code, schemas, database design, data model, relationships, indexes, workflows, dashboards, reports, queries, automations, integrations, APIs, access controls, credentials, hardware, infrastructure, legal records, certificate records, hashes, metadata systems, audit systems, methods, processes, techniques, trade secrets, documentation, and EC-created structural organization.

1. Purpose

This policy governs EC timecards, work segments, driving segments, PTO records, labor records, approvals, corrections, reopen actions, audit history, and payroll-related operational data.

2. Scope

This policy applies to clock-in/out records, onsite work, remote work, lunch, driving, mileage, service notes, PTO requests, PTO approvals, admin reopen actions, corrections, payroll exports, and audit records.

3. Operational Records

EC timecard and labor records are operational records used to support review, payroll preparation, management, reporting, and evidence preservation.

They may require human review before payroll processing or employment decisions.

4. User Responsibility

Users must enter time, mileage, work status, notes, PTO requests, and corrections accurately.

Users must not falsify, backdate, conceal, or manipulate timecard or labor records.

5. Admin Review and Corrections

Authorized owner/admin users may reopen, correct, annotate, approve, reject, or preserve labor records through authorized workflows.

Original records and correction history may be retained.

6. No Payroll Advice

EC does not provide legal, payroll, wage/hour, HR, tax, benefits, or employment advice.

7. Audit History

Timecard and PTO records may be logged and preserved, including timestamps, submitter, approver, correction reason, original value, new value, IP address, and related metadata.

8. Retention

Payroll-related operational records may be retained for audit, evidence, legal defense, business continuity, and owner/admin purposes.


Changes to This Policy

Quintin N. Mahan may update this policy by publishing a new active version in EC.

The current active version will be displayed through the Legal hub or Policies hub.

Older versions may remain stored in Postgres for audit, evidence, legal history, and historical review.
