For clarity, this document does not claim that Quintin N. Mahan owns raw facts, raw database rows, independent outside source records, CRS-owned operational records, customer-owned records, third-party-owned records, or customer relationships merely because such information is entered into, stored in, processed by, displayed through, backed up with, or exported from EC.

This document protects EC Protected Materials: the application, software, source code, schemas, database design, data model, relationships, indexes, workflows, dashboards, reports, queries, automations, integrations, APIs, access controls, credentials, hardware, infrastructure, legal records, certificate records, hashes, metadata systems, audit systems, methods, processes, techniques, trade secrets, documentation, and EC-created structural organization.

1. Purpose

This Legal Hold and Evidence Preservation Policy explains how EC records, logs, backups, certificates, legal artifacts, exports, repositories, metadata, and infrastructure records may be preserved when evidence may be needed.


2. Scope

This policy applies to Terms versions, policy versions, acceptance records, decline records, certificate PDFs, generated exhibits, audit logs, backups, database records, user records, support records, security records, API logs, automation logs, emails, attachments, exports, repositories, configuration, and infrastructure records.


3. Preservation Events

A preservation hold may be applied for disputes, threatened claims, legal demands, security incidents, attempted lockout, attempted seizure, employment changes, CRS sale/change of control, nonpayment, Terms refusal, evidence preservation and authorized transition support risk, suspected tampering, or owner/admin defense.


4. Preservation Actions

EC may preserve records by restricting deletion, making backups, generating snapshots, exporting records, hashing files, preserving PDFs, preserving emails, logging activity, creating evidence packages, or limiting access.


5. No Destruction or Interference

Users and companies must not delete, alter, conceal, corrupt, backdate, overwrite, falsify, or interfere with records subject to preservation.

Users must not disable logs, delete backups, remove certificates, alter Terms history, or interfere with evidence packages.


6. Owner/Admin Authority

Quintin N. Mahan may determine when preservation is appropriate, what records should be preserved, how preservation is performed, and when a hold may be modified or released.


7. Duration

Preserved records may be retained for as long as Quintin N. Mahan determines is needed for legal, evidence, audit, security, ownership, continuity, or defense purposes.


8. Evidence Packages

EC may generate evidence packages containing records, PDFs, hashes, logs, snapshots, manifests, timestamps, and related metadata.

Evidence packages may be stored, backed up, emailed, exported, or retained for legal and owner/admin purposes.


9. Changes to This Policy

Quintin N. Mahan may update this policy by publishing a new active version in EC.

Older versions may remain stored in Postgres for audit, evidence, and historical review.
