Employee Center Electronic Records and Signatures Notice

No Raw Database Data Claim

For clarity, this document does not claim that Quintin N. Mahan owns raw facts, raw database rows, independent outside source records, CRS-owned operational records, customer-owned records, third-party-owned records, or customer relationships merely because such information is entered into, stored in, processed by, displayed through, backed up with, or exported from EC.

This document protects EC Protected Materials: the application, software, source code, schemas, database design, data model, relationships, indexes, workflows, dashboards, reports, queries, automations, integrations, APIs, access controls, credentials, hardware, infrastructure, legal records, certificate records, hashes, metadata systems, audit systems, methods, processes, techniques, trade secrets, documentation, and EC-created structural organization.

1. Purpose

This Electronic Records and Signatures Notice explains how Employee Center (“EC”) may use electronic records, electronic acknowledgments, electronic signatures, checkbox acceptances, certificates, hashes, timestamps, logs, and system-generated evidence.

EC is a private operational platform owned by Quintin N. Mahan. EC may rely on electronic records to operate the platform, document user actions, preserve evidence, prove acceptance, generate certificates, and maintain legal and operational history.


2. Scope

This Notice applies to electronic records created, stored, generated, accepted, viewed, transmitted, signed, certified, logged, preserved, or backed up through EC.

Covered records may include Terms acceptances, policy views, checkbox acknowledgments, company-authority acceptances, decline records, certificate PDFs, legal exhibits, service reports, task updates, timecards, approvals, acknowledgments, uploaded signatures, audit logs, metadata, emails, and generated records.


3. Relationship to Other Policies

This Notice works together with the Employee Center Terms and Conditions, Privacy Notice, Data Security Policy, Data Retention and Backup Policy, API and Integrations Policy, and Support / Incident / Diagnostics Notice.

If this Notice conflicts with the Employee Center Terms and Conditions, the Terms and Conditions control unless Quintin N. Mahan signs a separate written agreement stating otherwise.

Nothing in this Notice transfers ownership of EC, EC records, EC certificates, EC legal artifacts, EC logs, EC backups, or the EC Protected Materials.


4. Electronic Records

EC may create and rely on electronic records instead of paper records.

Electronic records may include screen submissions, database rows, audit logs, hash records, PDFs, email notices, file metadata, timestamps, IP addresses, user agents, browser data, device identifiers, route access, and system-generated certificates.

Electronic records may be stored in EC, backups, exports, legal snapshots, generated PDFs, email logs, or other EC-controlled locations.


5. Electronic Signatures and Acknowledgments

EC may treat the following as electronic signatures, acknowledgments, or assent evidence where applicable:


6. Acceptance Certificates

EC may generate certificate records and PDF certificates to document Terms acceptance, company acceptance, decline records, and other legal/evidence events.

Certificates may include user identity, company identity, Terms version, policy version, hash values, timestamps, IP address, user agent, checkbox text, Legal URL, Terms URL, authority level, and related metadata.

Certificate records and PDFs may be retained indefinitely for evidence, legal defense, ownership protection, and audit purposes.


7. Hashes and Integrity Records

EC may use hashes, including SHA-256 hashes, to identify and preserve the integrity of Terms versions, policy versions, certificate text, certificate PDFs, exhibits, snapshots, exports, or other records.

Hash records may be used to show that a record existed in a particular form at a particular time.


8. Email Evidence Notices

EC may send legal/evidence emails from support@crsabq.com to mahanquintin@gmail.com.

These emails may include certificate PDFs, Terms snapshots, policy snapshots, hashes, timestamps, and related metadata.

Users do not receive acceptance/certificate emails by default.


9. No Paper Requirement

EC is not required to create, print, mail, or preserve paper copies of electronic records unless Quintin N. Mahan chooses to do so or a signed written agreement or legal requirement says otherwise.

Electronic records may be the authoritative EC record.


10. User Responsibility

Users are responsible for actions taken through their accounts and for ensuring that submissions, acknowledgments, signatures, approvals, and data entries are accurate and authorized.

Users may not deny an action merely because it was electronic if EC records show the action was submitted, accepted, approved, or performed through their authenticated account or authorized access.


11. Preservation

Electronic records may be retained, backed up, exported, preserved, and used for evidence, legal defense, evidence preservation and authorized transition support, security, audit, enforcement, and owner/admin protection.

Users and companies may not delete, alter, conceal, falsify, corrupt, or interfere with electronic records, certificate records, hashes, logs, or related evidence.


12. Changes to This Notice

Quintin N. Mahan may update this Electronic Records and Signatures Notice by publishing a new active version in EC.

The current active version will be displayed through the Legal hub. Older versions may remain stored in Postgres for audit, evidence, and historical review.
