Employee Center Directory and Contact Record Policy

No Raw Database Data Claim

For clarity, this document does not claim that Quintin N. Mahan owns raw facts, raw database rows, independent outside source records, CRS-owned operational records, customer-owned records, third-party-owned records, or customer relationships merely because such information is entered into, stored in, processed by, displayed through, backed up with, or exported from EC.

This document protects EC Protected Materials: the application, software, source code, schemas, database design, data model, relationships, indexes, workflows, dashboards, reports, queries, automations, integrations, APIs, access controls, credentials, hardware, infrastructure, legal records, certificate records, hashes, metadata systems, audit systems, methods, processes, techniques, trade secrets, documentation, and EC-created structural organization.

1. Purpose

This policy governs EC directory records, company records, store records, contact records, phone numbers, emails, archive status, duplicate merging, and directory synchronization.

2. Scope

This policy applies to EC customer/company directories, contacts, addresses, phone numbers, emails, business hours, notes, tags, related stores, related contacts, archived records, duplicate records, and synced directory data.

3. EC Directory as Operational Source

The EC directory may function as an operational source of truth for EC workflows.

Directory records may be imported, cleaned, normalized, enriched, archived, synced, reported, and linked to tasks, calls, service reports, invoices, and customer history.

4. Archive, Not Delete

Directory records should generally be archived rather than deleted where history, evidence preservation and authorized transition support, audit, evidence, or reporting value remains.

5. Duplicate Handling

EC may merge, link, flag, or preserve duplicate directory records.

Merge history and source references may be retained.

6. Sync and Integrations

Directory data may sync with systems such as Google Workspace, Zoho, phone systems, or other authorized services.

Third-party sync errors, delays, or conflicts may occur.

7. User Responsibility

Users entering or editing directory records should use reasonable care and authorized purposes.

8. Ownership

EC directory structures, relationship mappings, tags, metadata, reports, history, and derived records are part of EC and the EC Protected Materials.


Changes to This Policy

Quintin N. Mahan may update this policy by publishing a new active version in EC.

The current active version will be displayed through the Legal hub or Policies hub.

Older versions may remain stored in Postgres for audit, evidence, legal history, and historical review.
