For clarity, this document does not claim that Quintin N. Mahan owns raw facts, raw database rows, independent outside source records, CRS-owned operational records, customer-owned records, third-party-owned records, or customer relationships merely because such information is entered into, stored in, processed by, displayed through, backed up with, or exported from EC.

This document protects EC Protected Materials: the application, software, source code, schemas, database design, data model, relationships, indexes, workflows, dashboards, reports, queries, automations, integrations, APIs, access controls, credentials, hardware, infrastructure, legal records, certificate records, hashes, metadata systems, audit systems, methods, processes, techniques, trade secrets, documentation, and EC-created structural organization.

1. Purpose

This Customer Communication and External Output Policy explains how EC-generated customer-facing communications, service reports, emails, PDFs, exports, summaries, and external outputs may be used.


2. Scope

This policy applies to service reports, customer emails, exported PDFs, quotes, invoices references, delivery confirmations, task summaries, call summaries, customer notices, support messages, dashboard exports, reports, and other EC-generated or EC-assisted outputs sent outside EC.


3. Authorized External Use

External outputs may be sent only for authorized EC-related purposes and only to appropriate recipients.

Users must review customer-facing outputs for accuracy, completeness, tone, confidentiality, and recipient correctness before sending.


4. Review Requirement

Users should not send unreviewed, false, misleading, incomplete, confidential, or improperly addressed external outputs.

AI-assisted or automation-assisted output must be reviewed where customer, billing, legal, HR, tax, or sensitive operational impact exists.


5. No Unauthorized Disclosure

Users may not send customer data, employee data, EC internal records, legal records, certificate records, audit logs, exports, or confidential information externally unless authorized.


6. Ownership Notices

External outputs may include EC ownership, copyright, certificate, hash, or generated-by notices.

Users may not remove or alter required notices without authorization.


7. Errors

If an external output is sent incorrectly, users should promptly report the issue so EC owner/admin or authorized personnel can review, preserve records, and respond appropriately.


8. Logs and Retention

EC may log, preserve, and retain external output records, including sender, recipient, timestamp, content, attachments, status, related records, and delivery metadata.


9. Changes to This Policy

Quintin N. Mahan may update this policy by publishing a new active version in EC.

Older versions may remain stored in Postgres for audit, evidence, and historical review.
